1. CONDITIONS OF PARTICIPATION
The V Regional Pedestrianism Meeting is a hiking event that consists of a series of walks that will culminate in Sítio dos Lamaceiros | Boa Ventura - São Vicente (Madeira) on May 25, 2019, and which integrates several distances at the discretion of each Association/Club/Group associated with the event.
1.1 Age of participation
To participate in the event, participants must be at least 18 years old. Exceptionally, we will accept applications for participants aged between 12 and 17 years old, provided that they are accompanied by one of the parents.
1.2 Regularized registration
Enrollment in the V Meeting of Pedestrianism implies understanding and unreservedly accepting the rules and these regulations. Namely, it is necessary:
Register correctly on the event website.
Proceed with the payment of the respective registration fee, sending the respective proof of payment to the email associacaoretoica@gmail.com .
1.3 Physical conditions
Associations/Clubs/Groups associated with the event and respective participants must be aware of the distances and particularities of the chosen paths and be sufficiently prepared to complete the same.
2. THE EVENT
2.1 Presentation of the V Regional Pedestrianism Meeting.
RETOIÇA – Cultural, Sports and Recreational Association, the Municipality of São Vicente and Boa Ventura Parish Council, in partnership with the Camping and Mountaineering Federation of Portugal and the Forestry and Nature Conservation Institute, are the organizing entities of the V Meeting Regional Pedstrianism that will take place on May 25, 2019 at the site of Lamaceiros (Fajã do Penedo), parish of Boa Ventura, municipality of São Vicente, on Madeira Island.
Due to logistical reasons, registration for the V Regional Hiking Meeting is limited to 500 participants.
2.2 Program / Schedule
Saturday, May 25, 2019

8:00 am – Expected start for the walks of the Associations/Clubs/Groups associated with the event.
14:00 – Expected arrival of the first participants at the venue.
3:00 pm - Socializing/Noodles
2.2 Information about passage of places with road traffic
Since there will be no road traffic cut off, participants must comply with traffic rules on public use roads, as well as respect agricultural areas and private properties, under penalty of having to assume potential damages and compensation resulting from their non-compliance.
2.3 Responsibilities to the participant
Participants in the V Regional Pedestrianism Meeting, agree to participate voluntarily and under their own responsibility in the respective walk. Therefore, they agree not to claim or demand from RETOIÇA - Cultural, Sports and Recreational Association, Municipality of São Vicente, Boa Ventura Parish Council, partners, collaborators and other participants, of any responsibility to them and their heirs, in all that exceeds the coverage of its responsibilities, that of its employees and participants.
2.4 Activity insurance
RETOIÇA – Cultural, Sports and Recreation Association will take out a civil liability and personal accident insurance during the V Regional Meeting of Walking. This insurance guarantees coverage of your responsibilities, those of your employees and participants.
In the event of an accident, the participant must first contact the organization, which will arrange for their referral to the most appropriate medical institution for their state of health, together with the claim form with the respective policy number, stamped and signed by RETOIÇA – Associação Cultural, Desportiva e Recreativa (insurance policyholder). Sometimes, and given the urgency/severity of some accidents, it becomes impossible to fill in the form of the claim. In these circumstances, the claim can be dealt with after completing the first aid to the participant.
Any and all expense documents related to a claim that have already been filed will be paid in advance by the respective claimant and its originals sent to the insurer for later reimbursement.
The organization will not assume expenses for claims, of which it did not become aware in a timely manner to activate the insurance.
3. REGISTRATION

Individual entries will not be accepted.
All entries must (mandatory) be associated with an Association/Club/Group partner of the event.

If there is an interest in joining an Association/Club/Group not included in the above list, an expression of interest must be made via email associacaoretoica@gmail.com requesting such integration.
Note: For all intents and purposes, Retoiça - Associação Cultural, Desportiva e Recreativa is not responsible for the careless or incomplete introduction of pedestrian data on the registration platform (https://www.retoica.com/inscricoes-pedestrianismo).
3.2 Registration process (location, website, payment method)
Only entries made on the website https://www.retoica.com will be accepted.
Each participant will have to ask an Association/Club/Group (associated to the event) to register. After such request, the person in charge appointed by each group will receive the amount for each participant and proceed with the respective registration on the event's website. The latter, in turn, must correctly fill in the registration form and pay the fee within the stipulated period. However, the participant is responsible for the veracity of the data provided.
It is recommended that payment by transfer be made in its entirety in a single act.
RETOIÇA – Associação Cultural, Desportiva e Recreativa is not responsible for any denials of responsibility by the insurer, resulting from the incorrect insertion of data in the registration form by the participant.
The only method of payment allowed is Bank Transfer.

After confirmation of payment, the participant's name will be valid in the updated registration list.
Payment of the registration fee implies a seat reservation.

3.2 Fees and registration periods
The registration period starts on April 8th, 2019 and ends on May 19th, 2019 (or earlier, in case the available places are exhausted).
The registration fee is five euros.
3.3 Conditions for returning the registration fee
After May 19, 2019, no changes are allowed.
Refund or transfer of registration to another person can be requested until May 19, 2019. After this date the registration is non-refundable.
Cancellation or transfer of registration must be requested by email, using the same address used in the participant's registration, to associacaoretoica@gmail.com .
Cancellations by phone will not be accepted.
3.4 - Services included in the registration:
a) Personal Accident Insurance.
b) T-shirt alluding to the event.
c) Meal (Noodles) at the meeting place.
The T-shirts will only be assigned to the person in charge of each Club / Association / Group, after valid payment for registration. Under no circumstances will there be separate distribution of t-shirts to hikers.
Meal vouchers will be assigned to those responsible assigned to the person in charge of each Club / Association / Group, after valid registration payment. Under no circumstances will there be separate distribution of meal tickets to hikers.
IMPORTANT NOTE: In order to reduce the "ecological footprint", all participants must have a plate and cutlery for the meal at the meeting place.
4. INFORMATION
Notes and changes
4.1 Image and Publicity Rights
The organizing entities reserve the exclusive right to explore the image of the V Regional Pedestrianism Meeting and photographic and journalistic audiovisuals (if applicable) of the event. Any advertising project or media produced for publication must obtain the organization's prior consent.
Data Protection
The data of the participants indicated in the registration form will be registered by RETOIÇA – Cultural, Sports and Recreative Association for the purpose of processing at the event, namely, insurance company, registration list and news. All participants can exercise their right to access, rectify or cancel their personal data by sending an email to associacaoretoica@gmail.com .
4.2 Modifications
These rules can be edited, altered or improved at any time by RETOIÇA – Cultural, Sports and Recreation Association, Municipality of São Vicente and Boa Ventura Parish Council, without prior notice. The fact of making your registration implies the acceptance of this regulation.
4.3 Others
The organization may, whenever it sees fit, update this regulation, according to the organization's needs, until the deadline for registrations.
The organization may cancel the event for meteorological reasons.
The organizing entities will decide on all matters related to the event that have not been subject to regulation or on misinterpretations of this regulation.
